What is a property management system (PMS)?

A PMS is software that runs the daily operations of an accommodation business: the booking calendar, availability across channels, guest records, invoices, and reports. Instead of spreadsheets and notebooks, everything lives in one place that your whole team can use.

What is a channel manager?

A channel manager keeps your availability synchronized across booking platforms like Airbnb, Booking.com, and Vrbo. When a guest books on one platform, the dates are automatically blocked on all the others, which is what prevents double bookings.

What does Ruma do?

Ruma combines a drag-and-drop booking calendar, a channel manager, invoicing with local tax compliance, guest CRM, reports, staff accounts, and an AI assistant — built for small hotels, guesthouses, rooms-to-let, and Airbnb hosts.

Is there a mobile app?

Yes. The Ruma mobile app is available on Google Play, with the calendar, bookings, and invoices. An iOS version is coming soon.

What languages does Ruma support?

The Ruma app is available in English, Greek, Serbian, and Russian. The AI assistant understands questions in plain English or Greek.

Channels & Sync

How do I avoid double bookings between Airbnb and Booking.com?

Connect both platforms to a channel manager. Ruma syncs availability in both directions in real time: a booking on Airbnb immediately blocks those dates on Booking.com and vice versa, so two guests can never book the same night.

Which booking channels does Ruma support?

Ruma has real-time two-way sync with Airbnb, Booking.com, and Vrbo, plus iCal import/export for platforms without a direct API connection. Sync health monitoring alerts you if a channel ever falls out of sync.

Can I manage phone and direct bookings too?

Yes. Direct bookings are created on the same calendar with one click, and all connected channels automatically block those dates.

How much does Ruma cost?

Starter is €39/month (up to 2 properties), Pro is €79/month (unlimited properties, channel manager, invoicing), and Business is €149/month (adds the AI Assistant, API access, and priority support). Yearly billing saves roughly 20%.

Is there a free trial?

Yes — you can start a free trial without a credit card and cancel any time.

Does Ruma take a commission on my bookings?

No. Ruma is a flat subscription. Whatever your channels pay out is yours.

Getting started

How long does setup take?

Most owners are operational the same day: create your properties and rooms, connect your channels, and the calendar starts syncing. No sales call or onboarding contract is required.

Does Ruma handle Greek tourist tax and invoicing?

Yes. Local taxes such as tourist tax and VAT are calculated per booking, invoices generate automatically from confirmed bookings, and tax reports export in a format your accountant can use directly.

Can my staff have their own accounts?

Yes. Cleaners, receptionists, and managers get separate logins with role-based permissions, so each person sees only what their job needs. Pro and Business plans include unlimited staff accounts.

Can I export my data?

Yes. Bookings, reports, and invoices export to Excel or PDF at any time, and your data stays yours.
